Documentation
The booking overview shows all upcoming and past appointments - as a calendar or list, filtered by location and staff member.
Calendar View
Navigate to JoomBook → Appointments. You first land in the calendar view, which shows all appointments visually by day, week, or month. Use the arrow buttons and Today to move between periods.
Click an event to open the appointment for editing. Use New (top left) or click a day to create a new appointment.
Closed times and absences in the calendar
The calendar shows not only appointments but also when no booking is possible. One rule governs all of it:
The distinction is carried by the depth of the grey, not by different hues - which keeps the view on the appointments clear:
- Lightest: time outside the opening hours. That is a statement about the time of day, so it only appears in day and week view.
- Slightly stronger: a day on which the filtered staff member does not work.
- Strongest: the location is closed - weekly closing day, single closed day or a closure period.
A block, by contrast, is not shading at all but an entry: slate grey, with a lock in front of it. This applies to blocks that cover everybody just as much as to a single person's absence - the same thing, shown the same way, removed the same way.
A legend below the calendar explains the states. "Closed" and "Block - click to remove" are always visible. "Outside opening hours" is added in day and week view, and "Not a working day" as soon as you filter to a single staff member.
Creating and removing blocks
You can block time directly in the calendar, without going through a staff or location form:
- Create: drag across the period you want in day or week view, or across two or more days in month view. A small form opens where you enter a label and decide whether the block applies to everybody or to one particular person.
- Remove: click the block in the calendar and confirm the prompt.
A single click on a day still creates an appointment, not a block - only dragging across an area opens the block form.
Clicking the label of a location closing time takes you to the opening hours of that location instead. That is where the entry lives, and where it should be changed.
Adjusting the calendar display
The gear button above the calendar opens a small popup ("Calendar display") with two settings. Your choice is applied live and stored centrally for everyone, so the settings page deliberately does not repeat these fields.
Colour coding. You choose separately what the main bar and the small start segment before the time are coloured by - status, service, service category, staff member or payment status. The default is status for the main bar and service for the start segment. The text colour switches automatically between dark and light so it stays readable on any colour. Pair bookings coloured by staff show both staff colours as a split (top/bottom) bar.
Time range in day and week view. You decide whether the day and week view shows the full 24 hours or only the opening hours. The default is the opening hours, which removes a lot of empty scrolling. Entries outside the opening hours stay visible - the range is widened automatically for them, so nothing can be hidden.
Jumping to a date
In the toolbar above the calendar, the "Go to date" button opens a small date picker that takes you straight to any day - especially handy in day view, where each arrow click otherwise moves only a single day. The picker starts on the date currently shown and works in month, week and day view alike.
List View
Use the toggle at the top right to switch between Calendar and List. The list view shows your appointments with the key columns:
- Date & time of the appointment
- Customer name
- Booked service
- Assigned staff member
- Location
- Status
- Payment status and price
- Booked on (time the booking was made)
The possible statuses are Pending, Confirmed, Cancelled, Rejected, Completed, No Show, Waiting and - when double opt-in is active - Awaiting confirmation and Not confirmed.
A coloured bar on the left of each row indicates the status at a glance. Click a row to open the appointment in the edit panel.
Spotting new customers
If an appointment is the customer's first booking, the row carries a star with the label New customer behind the name. Going through the list, you can see at once who is coming for the first time.
Customers who were already with you before you started using JoomBook can be marked as an Existing customer in the customer form - the star is then omitted. For imported customers JoomBook sets this automatically.
Filter & Sort
A filter bar sits above the list:
- Search (e.g. by customer name)
- Appointment status
- Payment status
- Service
- New customers only
- Date range from / to
As soon as at least one filter is set, a reset button appears next to it. You still filter by location via the tabs above the list and by staff member via the staff dropdown. Sorting works by clicking the relevant column heading.
