Setting Up Appointment Reminders

Pro Automatic reminder emails significantly reduce no-shows. JoomBook sends them X hours before the appointment via the Joomla Task Scheduler.

This feature is available from the Pro Plan onwards.

Enabling Appointment Reminders

  1. Navigate to JoomBook → Settings → E-Mail Notifications
  2. Enable "Reminder E-Mail" in the "Appointment Reminders" card
  3. Enter how far in advance the reminder should be sent under "Reminder Timing (hours before)" (e.g. 24 for 24 hours before)
  4. Optionally customise the Reminder Subject - leave it empty to use the default subject
  5. Click Save

The scheduled task

When you save, JoomBook creates the scheduled task JoomBook: Send Appointment Reminders for you. There is nothing to create and nothing to configure under System → Scheduled Tasks. The task checks every 15 minutes whether a reminder is due.

If you switch reminders off again later, the task is disabled and reused when you switch them back on.

One requirement remains: the Joomla task scheduler has to be triggered regularly, otherwise even a correctly created task never runs. How to set that up is described in the "Setting Up Web-Cron & Scheduled Tasks" article.

Checking that reminders are running

  1. Open System → Scheduled Tasks.
  2. The task JoomBook: Send Appointment Reminders has to be listed, enabled, and carry a date in the Next Run column.
  3. If that column stays empty, or the last run never changes, the cron is not running - the problem is then the scheduler, not JoomBook.
